Encouraging regular school attendance is one of the most powerful ways you can prepare your child for success – both in school and in life.

When you make school attendance a priority, you help your child get better grades, develop healthy life habits, avoid dangerous behaviour and have a better chance of succeeding at school.

Research consistently demonstrates a strong correlation between high levels of attendance and improved educational outcomes. Students who attend school regularly are more likely to achieve their full potential academically, with improvements often seen in both attainment and reading skills. Regular attendance also helps students to build confidence, develop a strong sense of belonging within the school community, and establish important social skills and friendships. As a result, students with good attendance are significantly more likely to experience success, wellbeing, and positive outcomes both during their education and in later life.

The importance of excellent attendance

The school has a statutory duty to ensure the safety and welfare of every child on roll. This responsibility includes recording each pupil’s attendance at both morning and afternoon registration, as well as monitoring their physical, emotional and mental well-being throughout the school day.

All children should have access to education every day through regular attendance at school. Consistent attendance enables pupils to fully engage in learning, make progress, and achieve their potential across all aspects of school life. Excellent attendance and punctuality are fundamental to positive educational experiences and are strongly linked to improved life outcomes.  Every school day missed will result in lost learning, which can be difficult to fully recover. While teachers provide support, the classroom experience is unique and cannot easily be replicated.  

Students are aware of the expectations and importance of aiming for 100% attendance, but where absences are unavoidable would expect it to be no less than 97% over the course of an academic year.  You are able to review and monitor your child’s attendance via Arbor.

Arriving at school by 8:30 am every day, being punctual to and remaining in all lessons for the entirety. 

Attendance: Every day matters!

Good attendance at school is essential for a child’s education and establishes a positive working ethos early in life. It has been proven by DfE studies that students who are absent from school do not reach their full potential when measured against, their target grades and those that have a higher attendance percentage. Parents should bear this in mind when allowing their child to stay at home.

We encourage parents and carers to complete this form if their child is feeling under the weather but is still willing to attend school and give the day their best effort.

By providing this information in advance, our pastoral team will be better equipped to support your child throughout the school day. We hope this form will help streamline communication between home and school, allowing us to be aware of your child's circumstances and understand how you would like us to respond if additional support is needed.

Our aim is to work together to ensure that your child feels supported, comfortable and able to make the most of their time in school, even when they are not feeling at their best.

Under The Weather Form

Absences must be reported on the first day and each subsequent day of absence. If your child is absent for five consecutive days, the school may request further information or medical evidence. 

To record your child’s absence, please do so in one of the two possible ways stated below:

  1. Telephone: Absence line 01732 352793 option 1 and leave a voicemail including your child’s name, tutor group and reason for absence
  2. Email: attendance@hillview.kent.sch.uk

If the school has not been notified of the reason of absence, the absence will be unauthorised and will affect your child’s attendance figures.

Please note the school does not require a student to remain at home for 48 hours after an incident of vomiting or diarrhoea. Students can return to school as soon as they are well enough to do so.

We would ask that parents/carers make the utmost effort to book appointments outside of school hours. However, we do understand that this may not always be possible. Where this is the case, please notify the school in advance of appointments in the following ways:

  1. Email: attendance@hillview.kent.sch.uk
  2. Telephone: 01732 352793, option 1, and leave a voicemail including your child’s name, tutor group, type of medical appointment and time of leaving and return time.

Where possible, please include supporting evidence for the appointment, such as a letter, appointment card or screenshot of a text reminder.

On leaving the premises, the student must see their Student Support Manager/Medical Officer to collect a permission slip indicating they have permission to leave the school site. We expect students to return to school (if appropriate) after their appointment.  If they are unable to return back to please contact the school to advise. 

Supporting Evidence may be requested in the following circumstances:

  • With notification of a medical/dental appointment.
  • Absence due to illness that exceeds 5 consecutive days or long-term health or mental health issues.
  • Requests for leave of absence to accommodate activities such as performing or sporting events that have not been arranged by the school.
  • Emergency term-time leave of absence requests, including when out-of-term-time leave is unexpectedly extended into term time.

This list is not exhaustive and from time to time we may request supporting evidence for reasons not mentioned here.

For any planned absence, authorisation must be obtained in advance from the Headteacher. Requests should be submitted via email to attendance@hillview.kent.sch.uk

Please note that the school does not authorise term-time holidays or leave for family visits. Requests of this nature are strongly discouraged to avoid disappointment.

Attendance Policy

Morning Registration

The morning registration window is open from 8:40 - 9:10 am. Students are expected to be on site no later than 8:30 am and ready for the start of Mentor time at 8:40 am. Please ensure your child leaves home in good time. 

Students arriving after 8:40 am must report to reception to sign in. This is to ensure we accurately record their time of arrival and reason for arriving late.  

 

Late Arrival After 9:10 am 

Students arriving after the registration window closes, without good reason or prior notice, will be marked as late after the register has closed and will receive a ‘U’ code, which is recorded as an unauthorised absence and will negatively impact their attendance record. 

Frequent lateness after the register has closed (U) could provide grounds for a Notice to Improve, prosecution or a Penalty Notice.

If you have any questions about this, please contact a member of the attendance team.

If after 3 days of absence, your child has not been seen and contact has not been made with the school, we will make all reasonable enquiries to establish contact with parents/carers and the child, including making enquiries to known friends, wider family and other agencies. In the event of an absence of three or more days without contact from the family, a home visit might be made to ascertain the safety and well-being of the child and in addition to the reason for absence from school.

 

Ten Days Absence

We have a legal duty to report the absence of any student who is absent without an explanation for 10 consecutive days. If the child is not seen and contact has not been established with the named parent/carer then the local authority is notified that the child is at risk of being missing from education (CME)

 

Frequent / Persistent Absence Problems

We want to avoid absence wherever possible. If there are any issues preventing attendance, please communicate this with us. When absence first becomes a concern, we will invite you in for a meeting with the school to put an action plan in place to improve attendance.  

Unauthorised absences may result in the issue of a Fixed Penalty Notice or referral to KCC for a formal Attendance meeting/Statutory Attendance intervention.
